Who is responsible for your data
ZCHEDULISTA operates the consumer travel services offered through this storefront and acts as the personal information controller for the traveler data it decides how and why to process. GroveFlux technology powers the platform. Where a third-party seller is clearly identified on Hello Pilipinas, that seller may also process the information needed to fulfill its own travel service under its own responsibilities.
Privacy questions and data-subject requests may be sent to hello@zchedulista.com or through Traveler Help.
What we collect
- Identity and contact details such as name, email address and mobile number.
- Booking, quotation, itinerary, traveler-count, add-on and service information.
- Payment and refund status, provider references and settlement information. We use provider-hosted payment flows and do not intend to store raw card credentials.
- Traveler-account profile information, including date of birth and optional address.
- Optional travel-readiness details such as nationality, emergency contact, document type/issuing country/expiry and travel-insurance details. The current readiness profile does not store a passport or ID number.
- Assistance messages, support history and location coordinates only when you deliberately choose to share location for a help request.
- Z-Miles, vouchers, preferences, notification history and account activity.
- Technical, security and diagnostic information reasonably needed to operate and protect the service.
Why we process it
We use personal data to provide quotations and bookings, process and reconcile payments, fulfill travel services, communicate operational updates, maintain traveler accounts and rewards, respond to assistance requests, prevent fraud and abuse, keep required business records, improve service reliability and comply with legal obligations.
Depending on the activity, processing may be necessary to take steps at your request before entering into a contract, to perform a booking or service contract, to comply with legal obligations, for legitimate operational/security interests, or because you gave consent for an optional activity such as marketing or voluntarily sharing a location.
Who may receive it
We disclose only the information reasonably needed for the relevant purpose. Recipients can include payment processors, hotels, transport providers, tour/activity suppliers, guides/drivers assigned to an active service, approved Hello Pilipinas sellers for their own bookings, technology/cloud providers working for the platform, professional advisers and government or law-enforcement authorities when disclosure is legally required.
Retention
We keep information only for as long as necessary for the purpose for which it was collected, legitimate business or legal claims, and applicable legal obligations. Booking, invoice, payment and other records that form part of accounting or tax records may need to be preserved for up to ten years, or longer when a pending audit, dispute, refund or legal claim requires it. Account-only and optional profile information should be deleted or anonymized when no longer needed, subject to records that must lawfully remain.
Optional location information is attached only when you intentionally share it for assistance and should not be kept longer than necessary for the assistance, security, dispute or legal purpose for which it was recorded.
Your choices and rights
Subject to applicable law, you may ask about your data, request access or correction, object to certain processing, withdraw consent where processing depends on consent, request erasure or blocking where applicable, request data portability when applicable, and lodge a complaint with the Philippine National Privacy Commission.
Traveler-account deletion can be initiated at Account deletion. Some transaction, tax, fraud-prevention or legal records may be retained or anonymized rather than immediately erased when there is a valid basis to keep them.
Security and international processing
We use role-based access, authenticated Staff tools and technical safeguards intended to protect personal data. Some cloud, payment or technology providers may process data outside the Philippines. We limit disclosures to the service purpose and require appropriate handling through our provider arrangements.
Updates
We may update this notice when the service, providers or legal requirements change. Material changes should be reflected by a new policy version/effective date before they apply to new bookings.
